GUIDELINES FOR SUBMITTING ELECTRONIC RESERVES MATERIAL  

PRESENTATION

1. Straight Margins! The straighter the original, the “prettier” it will appear when converted to electronic format.

2. One-sided copies only: The machine we use to scan documents has an automatic document feeder that can read only one side of a page.  

3. Minimal toner areas: If there are any substantial dark areas in a document, those areas will appear on the electronic document. These dark areas require a lot of file space, and many printers have problems with large files. When reproducing a document for submission to e-reserves, make sure that it is enlarged or reduced sufficiently to fill the entire page. Also, when reproducing, close the copier lid to reduce light leakage, which aggravates the problem.

4. Notes, marginalia, highlighting, underlining, etc: The scanner and electronic conversion program reproduce the original document faithfully. Any underlining, stray marks, highlighting, will be visible. The cleaner the original, the cleaner the copy will be.

6. Copies of copies: Remember, both scanners and fax machines operate much like a photocopier. Some resolution is lost when a reproduction is made. The cleaner the original, the cleaner the copy.

7. Paper: Do not bend, fold, staple, or crease any pages as they may jam the scanner’s automatic document feeder.

8. 40-page maximum: It is difficult to read an overly long document on a computer screen, so most students print larger e-reserve documents. As noted above, large documents can cause problems for printers. If a faculty member wants students to read an especially long document (30+ pages), it is better to assign the work as a course text or to have the library acquire a copy of the original for placement on reserve.

HOW TO SUBMIT MATERIALS FOR ELECTRONIC RESERVES 

1. FAX DELIVERY: Instructors may submit material by fax as well. When faxing reserve material to the library, please use a cover sheet. The cover sheet is used to identify the document for so that it might be placed on the proper reserve list. The cover sheet also provides publication information for the purpose of securing copyright permission. No reserve item will be processed without a cover sheet. Note that it will not be possible to delete the cover sheet from faxed documents, which means that it will be visible to students viewing the document.

The fax number is x7852. Documents submitted to this number will go to the “fax module” of the e-res program, from which they can then be loaded into the appropriate course pages. Reserves Staff will routinely check the “fax module” for new documents. Items that require copyright permission will not be placed on reserve for two weeks, to allow time for processing copyright permissions. The fax cover sheet must include the following information:

Course Information: Instructor’s name, Department, Phone number, Course Name and Number, Number of pages in the material, Course Password (may be deleted for security considerations through arrangement with reserves manager), Date Submitted

Description of Material: Short Title (this should match the title in the class syllabus. The circulation staff will enter the name we are given. In the past, faculty have described an item by one name in class or on the syllabus and given the reserves staff another, which tends to confuse the students), author, call number (if known).

Complete Bibliographic Citation, including ISBN or ISSN, if available

Faculty members please note: The e-res system allows for the creation of hyperlinks connecting an instructor’s course page with web sites and full-text articles from an online databases. Creating a direct link to already existing material eliminates the need for instructors or the reserves staff to photocopy or scan the material. It also eliminates the need to secure copyright permission for the material. This is a very useful feature and instructors are strongly encouraged to take advantage of it. Faculty members should inform the reserves staff when any of their proposed reserve items are available online.
