How To Place Materials on Reserve / What May Be Placed on Reserve? / What May Not Be Placed on Reserve?

How to Place Items on Reserve:

Submitting a Reserve ListMaterials to be placed on reserve are generally brought to the Circulation desk by the faculty member or a representative, together with a completed Reserve List form which includes a complete bibliographic citation for each item, or the relevant call numbers for Library-owned items (Please note: to request that Library items be placed on reserve, instructors may fill out our new electronic Library Reserve Request Form).  If items on the list are not legible or if the book is not found on the shelf, the faculty member will be notified to make other arrangements which could include interlibrary loan (articles only), a rush order for the book, or a request for more information on the item.

If the list is turned in at least a week before classes begin each semester, the Circulation department staff will pull any in-house books from the Library shelves and have them ready for reserve by the first day of classes. After this time, faculty or their representative must pull their materials from the shelves and bring them to the Circulation desk.  Reserve materials and lists may be submitted at any time during the semester.

Reserve Lists for multiple courses:  Reserve materials for different courses must be listed on separate sheets. It is important that all information on the sheets be filled in correctly and completely.

Photocopying / scanning of excerpts:  Cost of photocopies will be borne by the faculty member or by the department. Photocopying of materials is the responsibility of faculty members or their representative.

Processing time:  Items that require copyright permissions (see our copyright policy or contact the reserve manager, Mary González, for more detail) will not be placed on reserve for two weeks after submission. THESE ITEMS WILL BE PROCESSED IN THE ORDER IN WHICH THEY ARE RECEIVED. Instructors are reminded to take this two-week delay into account when submitting reserve materials.  Items that do not require copyright permission, and items for which copyright permission has already been obtained, will be processed as quickly as possible; most  will be placed on reserve within 48 hours. However, library staff will not guarantee to place items on reserve faster than two weeks from time of receipt. ALL ITEMS WILL BE PROCESSED IN THE ORDER IN WHICH THEY ARE RECEIVED.

Removal of reserve items:  All materials will be taken off reserve at the end of each semester unless otherwise indicated. Library items will be returned to the stacks; photocopies of articles and personal materials will be returned to faculty departments.
